QUALIFICATIONS AND JOB DESCRIPTION

As the Bid Manager you will work as part of the Sales Team. The role incorporates excellent communication, organisation and administrative skills and a good eye for detail and accuracy. Working as the Bid Manager, you will be responsible for coordinating and producing the bid or proposal response document for new and existing client opportunities, managing the content library and required portals and capturing and updating required records/meeting notes as required and continuous improvement of the bid process.


Location: Istanbul (Asian side)


Your tasks will be:

  • You analyse the project descriptions received and create suitable service concepts for our international customers.
  • You are responsible for costing and pricing and prepare written quotations which you follow up proactively.
  • You prepare reports and evaluations in Excel.
  • Respond and provide generic requests for information from the bid library or internal stakeholders.
  • Manage document version control, procedures and processes within the creation and review process.
  • Source generic content from within the Company for written submissions and presentations / workshops.
  • Consolidate content sections and documents into the required tender format.
  • Production and delivery of compliant and professionally produced proposals within client defined timelines.
  • Manage data/documents and updates on client portals.
  • Create meeting notes when requested.
  • Support site visits, meetings and presentations briefings, documentation and logistics.
    Ensure complete confidentiality when working with bids with the team.
  • Ensure portals are managed effectively with appropriate internal/external communication.
  • Ensure templates are up to date.
  • Support / co-ordinate internal reporting.
  • Maintain and make available master document sets.
  • Proof reading and provide stakeholder feedback on areas of improvement.
  • Working with graphics team to create compelling graphics on a bid by bid basis.
  • Effective management and stakeholder use of content management system.
  • Ensure all meeting notes and actions are captured and distributed to the bid team using agreed methodology and systems.
  • Collaborate with the Account Director, Bid Team and Head of Bids as well as other departments and stakeholders.
  • Arrange meetings with potential clients ensuring the appropriate venue is secured and set up.
  • Ensure the relevant company resources are in attendance and have the correct briefing documentation.
  • Support with ad hoc travel/venue arrangements as required.


Main requirements:

  • Public and commercial sector bid administration/co-ordination experience
  • Ideally experience working in IT Managed Services
  • Degree educated or equivalent
  • Excellent written English language
  • Advanced Microsoft Office suite of software, i.e. Word, Excel, PowerPoint and Outlook
  • Experience using bid systems and software, e.g. SharePoint, content management libraries
  • Organisation and administrative skills
  • A good eye for detail and accuracy
  • Open, transparent, honest, process-driven, working with initiative, can work under pressure, team player
