IFTC Istanbul, the first independent and private training center established to provide simulator capacity in A320 and B737 NG aircrafts as well as quality training services with its JAR-FCL approved TRTO for B737NG and A320 types, is looking for an Executive Assistant.

EXECUTIVE ASSISTANT

Job Description
  • Provide personal and full administrative support to the General and Operations Management
  • Time management of General and Operations Management
  • Screen telephone calls, enquiries and requests, and handle them, or transfer to appropriate parties
  • Prepare the meeting room and make sure that the necessary documents are ready for customers to take
  • Attend meetings to record, compile, transcribe and distribute the minutes
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Read and analyze incoming memos and reports to determine their significance and plan their distribution
  • Open, sort, file and distribute incoming correspondence. Reply to correspondence and take the right actions
  • Make travel arrangements for the management (and in some cases customers) including flight, hotel and restaurant when necessary.
  • Collect management bills spent in the name of IFTC and send them to the financial department
  • Assist in organizing special events, such as e.g. special meetings and company events
  • Attend exhibitions as a host of IFTC when needed
  • Producing documents, briefing papers, reports and presentations, dealing with incoming email, faxes and post, often corresponding on behalf of the manager
  • Handling company and private accounts
  • Carrying out specific projects and research on management request
  • Maintain confidentiality in all aspects of Management, staff, customer and company information

Qualifications

  • Good command of English
  • Excellent computer skills, MS Office, Outlook and Internet
  • Excellent time management and (event) planning skills
  • Active listener, that includes giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Ability to effectively handle a variety of competing and demanding tasks simultaneously
  • Communicating effectively in writing as well as speaking, as appropriate for the needs of the audience.
  • Detail oriented and organized
  • Excellent interpersonal skills
  • Knowledge of administrative and clerical procedures and systems
  • Knowledge of principles and processes for providing customer and personal services
  • University/Vocational High School from a reputable university or Executive Secretary Training
  • At least 2 years experience in a similar function
