QUALIFICATIONS AND JOB DESCRIPTION

Human Resources Specialist
Job Definition: The Human Resource Specialist, under the oversight of the Human
Resource Director, handles and provides support for various HR team member programs within
the organization. The Human Resource Specialist will perform tasks within a range of focus
areas and of varying complexity within the organization. The position may carry out
responsibilities in the following functional areas: HR, benefits administration, onboarding,
recruitment, administer leaves, and employee relations. The position provides HR services in an
efficient, pro-active and customer service-oriented manner.

Responsibilities

  • Answer team member’s inquiries involving: training, compliance, operations, etc. and provide assistance
  • Maintain electronic personnel files in compliance with applicable company and legal requirements
  • Liaise with other departments or functions (payroll, recruitment, benefits etc.)
  • Process and input information of team members into all software systems
  • Conduct monthly electronic personnel files audits and ensure compliance
  • Process updates, approved by management, to team member information/personnel files
  • Process training documentation
  • Perform orientations, onboarding, and update records with new hires - background check admin, legal reporting, scheduling of onboarding and training
  • Conduct performance reviews and counseling sessions while documenting in team members' files
  • Perform routine tasks required to administer and execute human resource programs including but not limited to benefits, and leaves; disciplinary matters; disputes and investigations; performance and talent management
  • Attend and participate in employee disciplinary meetings, terminations, and investigations
  • Maintain knowledge of trends, best practices, regulatory changes, and employment law, maintains compliance with federal, state, and local employment laws and regulations, recommended best practices; reviews policies and practices to maintain compliance
  • Assist in the termination process in all systems
  • Produce and submit reports on general HR activity
  • Assist with HR reporting, internal and compliance
  • Support immigration postings and administration
  • Handle employment verification letters and calls
  • Maintains and updates HR Manual and Training Manual
  • Assist in ad-hoc HR projects, like collecting employee feedback
  • Perform additional duties/various administrative duties as needed.
Requirements
  • Proven experience as an HR coordinator or relevant human resources/administrative position
  • BSc/BA in Business Administration, Industrial Engineering or relevant field; additional education in Human Resource Management will be a plus
  • Excellent communication skills
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation
  • Attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines
  • Strong time management and organizational skills
  • Highly responsive and results driven
  • Forward-thinking with a growth mindset
  • Knowledge of human resources processes and best practices
  • Strong ability in using MS Office
  • Ability to juggle competing priorities and changing expectations
  • Project Management experience
  • Quick learner and agile: able to adapt and learn various systems and processes including human resource information system (HRIS)
  • Process-oriented: able to create, document, and implement processes from start to finish
  • Fluent in English.
