QUALIFICATIONS AND JOB DESCRIPTION

GCO Events Associate is responsible for a set of operational tasks for meetings & event management. The responsibilities include the development and monitoring of compliance with organizational processes, ensuring compliance with corporate regulations and legislation, the establishment of rules of document management, control of record keeping of all events, logistic support.


The key responcibilities include the following:

• Provide of document flow process in Ariba system for all events in the designated market.

• Providing all necessary support invoice payment for all the events

• Filling all incoming documents in Ariba system

• Providing of events registration in Ariba system in a proper way

• Payment control

• Providing all necessary reporting documents

• Providing feedback to each event in timely manner

• Close collaboration with Purchasing and Accounting Department

• Cross functional collaboration with all departments involved in business process

• Follow by all global and local SOPs and Compliance rules

• Create and approve FCPA pre-approval form

• Create and approve all nesecarry contracts for the specific form of interaction

• Vendor definitions to the systems

• Event logistic support

• Data stewardship

• Disclosure Support


ROLE RESPONSIBILITIES

• Implements the operational process of organizing and holding events: the preparation of necessary documents (forms, reports, etc.), monitoring of compliance with corporate regulations and legislation.

• Responsible for the delivering of all the necessary documents in the framework of reporting, closing documents of all events.

• Is a main specialist in the field of document flow of the organization and holding the events: consults and gives expert information on execution of documents for the events.

• Provides information interaction with stakeholders within the company and with internal clients, anticipating the outcome

• Creates the ACM forms

• Creation of the necessary contracts for the specific types of transactions


Qualifications

• University degree

• Strong ability to operate effectively within cross – functional teams

• Ability to perform multiple tasks at the same time,

• Work in conditions of tight deadlines,

• Set priorities, and the ability to interact professionally at all levels of the organization

• Microsoft Office literacy/knowledge required
