QUALIFICATIONS AND JOB DESCRIPTION

Purpose and General Description:

Full time “Project Assistant” will be hired to work with our “Project Execution Unit”. We are looking for the candidates willing to live and work in Mardin and need to travel to Şırnak, Siirt and Batman to provide necessary administrative support for the Team Leader and project team in the implementation of the project, to ensure customer satisfaction and carry out all administrative tasks for ensuring that the project is fully completed on time.

Key Job Duties:

1. Office Management

o Ensure daily operation of project office (answering phone calls, daily contact with the Beneficiary, responding emails, following up official correspondence and approval requests, providing necessary administrative support for the Technical Assistance Team)

o Enter necessary data on project databases

o Provide administrative support for project experts in line with request/assignment by the Team Leader

o Coordinate the project correspondence, archive incoming and outgoing documents

o Provide support in written translation and interpretation when necessary

o Ensure the timesheets are filled in an accurate and timely manner, to support the Team Leader for getting approvals on timesheets

o Ensure that stationary materials and devices are available in the office

o Provide necessary content and visuals for the project website

o Archive all project outputs

o Provide necessary support for the preparation of all visuals about the project

2. Event Management and Organization

o Support the administrative organization for project meetings (internal meetings, meetings with beneficiary, monthly management meeting, steering committee meeting, etc.) Including sending invitations, coordinating meeting preparations, taking minutes in meetings, disseminating minutes to relevant parties)

o Support the organization of training, conferences, meetings, workshops in the scope of the project - preparations, logistical support during the event, evaluation and archive support after the event, etc.

o Announce project training events, conferences, meetings, workshops via e-mail, follow up via phone, to provide necessary administrative support on the day of the event

o Carry out travel, accommodation, transfer reservations work for the project

o Support the experts in organizing study visits

o Participate in events held in another province or abroad for providing necessary administrative and logistic support when necessary

3. Specific to Project Assistant/Translator

o Translation of the relevant documents (publications, contractual reports, visibility and promotional materials, activity reports, journals, manuals, guidelines, etc.) from Turkish to English/ English to Turkish (for publications, different European languages will be translated in Turkish)

o Consecutive interpretation during the project events (meeting, conference, training, workshops, etc.)

o Providing editing and quality control support to project outputs, when needed;

o Identifying additional translation/interpretation needs of the project and coordinating outsourcing of translation/interpretation

4. Specific to Project Officer

o Team Action Reports (weekly)

o Project resource utilization

o Other PM related tracking reports

o Ensure an accurate tracking of all milestone activities in Project Plans

o Quality Check of reports created by projects

o Follow-up of all financial procedures (VAT Exemption process regularly reported to the Revenue Administration, and constant accounting procedures etc.).

o Maintains ceaseless communication with the finance department to ensure timely payment of invoices and solve payment issues, if there are any.

o We would like to underline that the careful management of incidental expenditures is critical in this Project, given its volume. Thus, one of the most important responsibilities of the OM will be the management of Project incidental expenditure besides his/her tasks in support of the PD, among others.
