QUALIFICATIONS AND JOB DESCRIPTION

Yupana is looking for an Administrative Assistant (AA). The AA will support a busy executive in multinational operations. This is a fast-paced, demanding environment and requires obsessive attention to detail and the ability to effectively multi-task. The Assistant will be performing various assisting duties, and coordinating travel arrangements, both domestic and international as well as other administrative tasks.

Essential Duties and Responsibilities

  • Answer telephones, direct calls, and interact with field employees
  • Assist field employees with various administrative items
  • Create various reports
  • Maintain accurate and complete records and timely processing of all transactions
  • Maintain office supply inventory and purchase supplies as needed
  • Keep the office up and running
  • Research and analysis of vendor transactions and troubleshoot problems
  • Maintain excellent vendor and client communication
  • Assist in day-to-day procurement/accounting operations as assigned
  • Schedule and organize complex activities such as meetings, travel, conferences, and assist in company events
  • Perform other related duties as required and assigned
  • Qualifications and Essential Requirements

    • Bachelor's Degree is REQUIRED
    • 1-2 years of experience as an Administrative Assistant is preferred
    • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, PC, and MAC literate
    • EXTREMELY organized and detail-oriented
    • Excellent communication skills, as this person will be interacting with a variety of people through several communicative outlets
    • Must be a team player
    • Being able to anticipate two steps ahead of a situation and having a backup plan in place
    • Problem solver and solution-oriented
    • Must have a "get things done" mindset to support the needs of a fast-paced business environment
    • Excellent language and grammar skills
    • Excellent level of English
    • US work experience is preferred
    • Excellent research skills
    • Highly tech-savvy
