QUALIFICATIONS AND JOB DESCRIPTION

Koç University Information Technologies Directorate will be hiring aDocument and Archive Management Assistant Specialist with the below mentioned qualifications:

Document and Archive Management Assistant Specialistwill be responsible for administrative works and implementing document management systems and procedures that help Koç University departments to collect, archive, access, share, and delete electronic and physical records.

  • Bachelor’s degree in related fields
  • Minimum 3 years of records and EBYS experience
  • Able to use MS Office programs effectively
  • Strong in reporting, business follow-up and analysis
  • Strong planning and organizational skills
  • Being able to use the Electronic Record Management System (ERMS) system actively,
  • Experienced in e-signature processes
  • Knowledge of TS 13298, Regulation on the Procedures and Principles to be Applied in Official Correspondence, Standard File Plan, Registered Electronic Mail, National Electronic Notification System processes
  • High communication and problem-solving skills
  • Excellent command of English
  • No military obligation for male candidates

JOB DESCRIPTION

  • Boxing, Shelving and labelling all kinds of archival material (Hard copies, Documents, CDs, DVDs, and other formats of information) in the Koç University Main Archive.
  • Following protocols for filing electronic and hard-copy documents
  • Organizing archiving materials in accordance with archival principles accepting to the main archive
  • Taking an active role in filling and archiving incoming documents
  • Maintaining the order and classification of documents
  • Ensuring that security measures are taken in the main archive
  • Controlling the physical conditions of the departments' archives, ensuring coordination with the relevant business units to maintain the condition of the archives
  • Extracting the requested documents from the archive, keeping the record and following up their return
  • Carrying out document filing and archiving services in line with the Standard File Plan
  • Taking responsibility in the unit/institution archive and ERMS business processes
