We are looking for an Office and Administrative Assistant for our global company operating in the petroleum and petrochemical sector located in Ataşehir.
What your responsibilities are going to be?
· Welcoming guests and company visitors
· Responsible for the creation and maintenance of all employment documents.
· Maintaining all employment-related documents
· Assist in the onboarding process for new hires
· Assist in documents preparation for any employee inquiries
· Maintain company documents - e.g. registers, order forms, contracts etc.
· Maintain documents related to health and safety requirements at the workplace
· Manage some office-related payments and expenses – e.g. bills, orders, business trips costs etc.
· Support the organization of business trips - e.g. hotel and flight reservations, rent-a-cars, expense reports, and estimations etc.
· Maintain the office condition and arrange necessary repairs (if needed). Be part of the office relocation and new office processes/ activities
· Purchase office supplies and equipment
· Leading correspondence with external vendors and partners – e.g. landlord, suppliers etc.
· Plan in-house or off-site activities, events, parties, celebrations; Schedule in-house and external events
· Help the manager maintain his /her daily work
What qualifications are needed?
· Bachelors or associate degree
· 2+ years of Office manager, executive, or administrative assistant experience
· Good command of written and spoken English
· Excellent organizational and multitasking skills
· Good communication
· Very good working level of MS Excel
