QUALIFICATIONS AND JOB DESCRIPTION

Terminal3 is looking to recruit a Travel Coordinator to support our global team. In this role, you will provide hassle-free and well-planned travel arrangements to our globe-trotting Marketing, Sales and Business Development teams.

Responsibilities:

  • Be responsible for all travel-related requirements including but not limited to flight booking, visa application assistance, accommodation, etc.;
  • Ensure all travel is cost efficient, including reporting on cost efficiencies and inefficiencies;
  • Prepare detailed travel itineraries, and ensure all pre travel due diligence is completed;
  • Arrange optimal travel routes for all offices and all employees people;
  • Optimize processes and costs, so we would not be paying extra costs for unnecessary flights (optimize routes, use frequent flyer miles when appropriate, etc);
  • Research needed permits, rentals, assignments, etc. Support on all events, including logistics, working closely across departments;
  • Confirm availability of bookings plus convey the tentative itinerary to the respective travelers ensuring they have all information and be adequately prepared
  • Provide alternative transport options and directions to travelers;
  • Navigate changing travel rules and regulations, especially around Covid regulations, and coordinate with the travelers to help ensure smooth and safe travel arrangements;
  • Understand, implement, and contribute to relevant travel related company policies;
  • Pro-active in identifying and implementing travel process improvements;
  • Continuously enhancing the operating model and interactions with travelers and relevant stakeholders;
  • Solicit feedback from travelers and relevant stakeholders, continuously enhancing the model taking onboard stakeholder feedback;
  • Ensure traveler information/profiles are up to date;
  • Expense processing to process travelers expense claims.

Skills and Competencies Required:

  • Bachelor's Degree;
  • At least two (2) years of experience in a similar role preferably in a travel agency;
  • Organized, pro-active individual who is always one step ahead and able to quickly anticipate the needs of others;
  • Flexible attitude, team player;
  • Ability to deal with people at all levels of seniority;
  • Proven written and verbal communication skills;
  • Excellent attention to detail is essential;
  • Strong sense of work ethic and business etiquette. In our company, we value Trust and Honesty. Candidates will undergo a reference check and candidates will be asked to provide a professional reference from their previous employers;
  • For male candidates, military service must be completed;
  • Our team is very global and English is the main language of communication in the company. Good command of both written and spoken English is required;
  • Ease of travel and availability to go on business trips.
