We are looking for a temporary "GM Assistant and Office Administrator" and cover a period of 8 months for our global partner which is in the chemical sector and based in Köln.
Job Description
Assist the General Manager in the daily operation which includes: managing calendar, arranging domestic/international travels, conducting follow-ups on necessary issues and items, and/or performing other related activities.
Assist the Administration Manager in office management and procurement processes
Perform general office duties such as archiving, maintaining records, managing database systems operations, answering phone calls.
Support the team for their travel arrangements as well as bookings for visitors.
Following the processes in the procurement of services and supplies and to communicate with the vendors.
Maintain the office condition and arrange necessary repairs as well as coordinate with the facility management as needed.
Be a coordination point for the IT department on all office equipment needs
Qualifications
Bachelor’s Degree
Solid experience in Office Coordination / Personal Assistant / Receptionist or equivalent
Attentive to details, strong planning and organization skills
Easily manage multiple priorities at once and have an eye for detail
Friendly, outgoing and a good communicator
Demonstrate an ability to think ahead and use their own initiative
A self-motivated team player personality
Proficiency in English (German is an asset)
Excellent MS-Office application knowledge
