QUALIFICATIONS AND JOB DESCRIPTION
Position Summary
The Executive Assistant will be responsible for handling managerial tasks, representing the executive in important business functions and allocating the executive’s diary.
Accountabilities
- Provide administrative & secretarial support to the executive with broad variety of tasks
- Manage professional and personal scheduling for the executive including agendas, call, email, mail, and travel arrangements
- Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Maintain internal processes that support to the executive, coordinating internal and external resources to expedite workflow
- Advice the executive of matters requiring personal attention, with associated deadlines and preparing relevant documentation
- Produce information by transcribing, formatting, editing, copying and transmitting data etc.
- Process the invoices on the internal system
- Follow up and complete projects by assigning work to clerical staff.
- Prepare reports by collecting and analyzing information
- Provide historical reference by developing and utilizing filing and retrieval systems for the executive
- Perform other related functions delegated or assigned to her/him as an executive assistant
Skills, Experience, Qualifications and Attributes
- Bachelor’s degree in a related field
- Minimum 5 years of experience in a similar role
- Excellent verbal and written English
- Excellent command of MS-Office Applications
- Have excellent planning and organizational skills
- Have excellent writing and reporting skills
- Strong communication skills
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Ability of analytical thinking and solving problems
- Ability to work in a multicultural and multilocation teamwork environment
