Sales & Marketing Administrative Assistant

What you will be doing:

  • Assists all Sales & Marketing team during their daily work as assigned by the S&M Department Heads
  • Keeps the archives up to date and in order
  • Handles group and banquet bookings of the hotel generated by the travel agents and end clients in Turkey and abroad.
  • Makes local sales calls to agencies within Istanbul to present the hotel and establish a good relationship
  • Records all sales activities in Opera
  • Has an excellent knowledge of segments’ rates and all the facilities of the Hotel
  • Works very closely with Convention & Events Sales team and gets handover of group files after contract is signed and turned to DEF status in order to issue and group instruction sheet and banquet event order
  • Handles all related tasks of the file which was handed over by Convention & Events Sales team from handover date till group check out
  • Assists the operational departments with a smooth flow of information received from client and makes sure the operation is a success
  • Issues necessary amendment files promptly in order to notify operations departments when there is a change in the BEO
  • Participates final billing process with accounting and front desk and makes sure that guest is charged correctly according to contract, BEOs and amendments
  • Conducts post-event interview with the guest and gets feedback about their event at the hotel
  • Updates sign boards of function rooms regularly according to hotel standards and daily function sheet
  • Conducts familiarization trips, house tours to potential clients
  • Implements all sales action plans.
  • Established and maintains good relations with the contact people in all accounts.
  • Implements all policies, procedures of the hotel.
  • Participates in to the functions to entertain decision makers and bookers.
  • Promotes all special programs of the hotel.
  • Participates monthly Sales & Marketing meetings and daily brief.
  • Performs related duties and special projects as assigned.
  • Makes sure that a proper correspondence is answered within 24 hours, checks regularly to have an up to date and orderly filing.

Your experience and skills include:

  • Service focused personality is essential
  • Previous 2 years sales experience in an international 5-star hotel
  • Prior experience working with Opera or a related system
  • Bachelor's degree in reputable universities
  • Fluency in English & Turkish; additional languages are a plus
