QUALIFICATIONS AND JOB DESCRIPTION

Scope and Purpose


In this role, the job holder will help carry out, develop, improve and manage Airties’ forecasting, sales, and customer order activities. The successful candidate will be responsible for the update, management & coordination of all customer orders on the Airties HubSpot platform. This role manages all ongoing adjustments to HubSpot deals tracking customer orders, following contract signatures to facilitate demand planning by the Airties operations team.

The Key Responsibilities of the position are:

This is a key role in Airties’ organization bringing together information from many sources and facilitating the reporting of accurate financial, sales, and forecast numbers. The successful candidate will:

  • Update HubSpot, specifically
  1. Management of ASP/ Quantities and validation of forecast with sales owners
  2. Verification of delivery capability and updates with Operational departments
  3. Interaction and update of margin & foreign exchange data in conjunction with finance and procurement teams
  4. Facilitate and supervise the creation of pertinent management reports & dashboards
  5. Management of opportunity pipeline
  6. Meeting notes uploads
  7. Management of customer records and chasing individuals to keep records
  8. Proposal uploads
  9. Project plan upload
  10. Sales order upload
  11. Important email upload
  12. Validation of sales data & responsibility to keep deals up to date in the system
  13. Assist and manage sample process in order to help the sales team
  14. Promote the usage of the Hubspot system and be the go-to “expert”
  15. Provide training on Hubspot to new & existing system user
  • Create an accurate memory for all relevant people in the Airties’ organization to access on demand
  • Work collaboratively with the sales team and the other business units to improve and deliver accurate, robust, and timely forecasts
  • Engage with customers to maintain accurate customer forecast models & tools, analyzing trends in coordination with internal stakeholders
  • Build relationships with and work closely with various internal teams & stakeholders e.g., operations, finance department. Be an internal “voice” of the Business Unit teams
  • To support the inventory, follow up & planning of the region and support the development of inventory and turns targets by creating new ideas to improve the existing supply chain
  • Support all planning activities in coordination with the operation team and sales team
  • Assist operations department to ensure flawless order processing, shipping, and timely delivery to the customer
  • Provide information to operations and finance team, acting as a liaison between operation, finance, and sales management team
  • Understand and contribute to improvements to HubSpot to improve overall system useability and reporting
  • Develop and devise efficient processes to keep the company “memory” intact
  • The ideal candidate will be from a sales operations background with a keen desire to learn international sales & business development as a key part of the role. Therefore, the successful individual will “learn” the business by:
  1. Supporting business development & sales activities in the relevant sales region e.g., customer meetings/trade shows / PO collection and forecast understanding
  2. Support preparation of relevant sales region weekly customer reports

Knowledge, Skills, and Experience

  • Bachelor’s Degree in a related field
  • Minimum 2 years of sales support or sales operations experience
  • HubSpot knowledge is a must or strong ERP & CRM software experience
  • Fluency in English
  • Excellent presentation skills
  • Positive and professional attitude with a hands-on mentality
