QUALIFICATIONS AND JOB DESCRIPTION

We are looking for a Junior Administrative Assistant to join our team at Sabancı University, Istanbul Policy Center.


SHURA Energy Transition Center is a think-tank founded by Sabancı University (SU) Istanbul Policy Center (IPC), Stichting European Climate Foundation (ECF) and Agora Energiewende to support the debate on transition to a low-carbon energy system in Turkey by fact-based analysis and best available data.


Junior Administrative Assistant (JAA) is responsible for assisting in execution of the administrative duties and supporting the Director and Financial and Administrative Affairs Coordinator of the SHURA Energy Transition Center, operating within Sabanci University Istanbul Policy Center. Under the supervision of the SHURA Financial and Administrative Affairs Coordinator, the JAA will proactively engage with Sabanci University administrative teams to support and assist the successful implementation of administrative activities of SHURA.


Qualifications

  • At least two years of relevant work experience in areas such as procurement, accounting, logistics, office/business administration,
  • Excellent written and verbal English skills,
  • Bachelor's degree preferably in Business Administration, Economics or related fields,
  • Excellent administrative and computer (Office) skills, proven ability to work well under pressure, take initiative and be a creative problem solver,
  • Appreciates the vital role of administrative tasks,
  • Ability to work both in a team and independently under minimum supervision,
  • Highly organized with ability to prioritize tasks, work independently and remotely,
  • Ability to meet deadlines; accomplish work in order of priority; professionally maintain composure and effectiveness under pressure and changing conditions.


Job Description

  • Initiate and follow up procurement & payment processes along Sabancı University’s and grant funders’ regulations,
  • Support the preparation of contracts with service providers in accordance with Sabancı University regulations,
  • Collect, verify, process and maintain an archive for the financial and legal documents required from service providers, beneficiaries, partners, etc.
  • Oversee the general operation of the office, ensuring things run smoothly and efficiently. Purchase supplies and equipment, and make sure there is sufficient inventory of everything the staff needs to perform their jobs effectively,
  • Anticipate needs of the SHURA team, particularly regarding scheduling, meeting support, and travel planning, staying abreast of current priorities and maintaining a close working relationship with the team,
  • Arrange domestic and international business travel (flights, hotel, car rentals/local transportation).
  • Organize and schedule conference calls, meetings, conferences, technical roundtables and team meetings,
  • Assist to ensure administrative tasks are completed in a satisfactory and thorough manner with great precision and accuracy,
  • Support SHURA in communication related activities such as updating the web site, event organization, logistics, media inquiries etc.


This position will be working with a fixed-term contract and is based in SHURA Energy Transition Center office Karaköy, İstanbul.
