QUALIFICATIONS AND JOB DESCRIPTION

OUP is a department of the University of Oxford which is an exempt charity whose primary purpose is educational. It furthers the University’s objective of excellence in research, scholarship, and education, by publishing worldwide. Within this, ELT’s objective is to provide high-quality materials and services that teach and sell well, enabling us to reinvest in the pursuit of our mission.

We are looking for an Office Assistant who will act as;

  • the admin employee for all departments,
  • the digital support contact for user problems & network problems,
  • office boy when there is a third-party delivery or a process to follow in SGK, tax authority and banks.

This position will be based in Istanbul, Turkey.

The main responsibilities of the position are:


Receptionist Responsibilities

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries;
  • Directs visitors by maintaining employee and department directories;
  • Maintains security as well as Health and Safety in the workplace by following procedures; issuing visitor badges;
  • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation, track the faxes arrived in the system and send them to the employees’ emails;
  • Maintains a safe and clean reception area by complying with procedures, rules, and regulations.
  • Receives cargo and hands to the related employees, track the invoice of cargo according to the departments and track the incoming lists,
  • Keep meeting rooms clean and tidy, support to organize the meetings with the availability of the rooms etc.
  • Is responsible for the Notice board announcements and sharing, filing the organizational announcements


General Admin Responsibilities to support the Office Manager

  • Delivery of the invoices to the related employees in the departments for approvals
  • Purchasing of some general office consumption materials from the outside of the office
  • Making arrangements of hotels & flight tickets of the employee with under the control of office Manager, checking and giving the confirmation about the regarding invoice at the end of months.
  • Support Office Manager in Procurement Process; Collecting all stationery & general consumption materials requests from all departments and getting quatations,
  • Ordering the general consumption materials &stationery materials periodically from the vendors which are defined in the system,
  • Following the periodical maintenance of office equipment according to the Health & Safety Procedures -in contact with the local H&S Coordinator,
  • Tracking car issues, directing & supporting employees about the related issue
  • Giving support and providing the necessary materials for internal&external company events.


Key Contact for application support

  • To act as OUP Turkey key contact liaising closely with colleagues in the ELT PDT and Global Technology to support digital-related issues including troubleshooting issues, server issues, ID/password issues.
  • To act as a key contact for digital and application-related troubleshooting and issues, including databases, CRM and ERP systems.
